Here’s how it works

MEMOS ENTER ARC MEMO MANAGER
Subscribing carriers enter or upload memo data. Once in the system, memos are immediately available for your organization to review.

MEMO ACCESS
To facilitate security and communication, agencies & CTDs assign a primary administrator to control user roles. Home office location users will have access to the home office memos as well as any memos assigned to the associated branches. Branch location users will only have access to memos related to their specific location.

MEMO COMMUNICATION
Once memos are in ARC Memo Manager, the system sends a daily email notifying you about new memos received that day. Additionally, the ARC Memo Manager home page contains notifications of new memos as well as alerts when certain changes to a memo have occurred, such as receiving correspondence from a carrier or a memo reaching its aging limit.

The system allows all parties to communicate online to resolve memo issues, including attaching supporting documentation to memos. Since GDSs play an integral role in the memo resolution process, the relevant subscribing GDS can be granted access to specific memos by either the travel professional or the carrier. This allows all parties to view and correspond on the memo in question.

MEMO PAYMENT
Agents can make full and partial payments to be settled in the Interactive Agent Reporting (IAR) system. When a payment is made in ARC Memo Manager, the system will automatically update your sales report in IAR with the relevant memo information. Once the payment settles in IAR, ARC Memo Manager will automatically update the balance due by the amount of the payment. If the memo was paid in full, the system will close the memo.

Agents can also record payments made outside of the IAR system, informing the carrier that payment has been made via another vehicle, such as a check.

MEMO DISPUTE
Agents may submit disputes for the full or partial amount of a memo, which carriers may accept or reject. Individual carriers may set a limit for the number of times an agent is able to dispute a memo.

MEMO RESEARCH & RESOLUTION
Memo information can be queried on a variety of criteria, shown in report format, and exported as a pdf, text or csv file for import into another system.
