| Exception Transactions |
Exception Transactions are defined as transactions that cannot be processed electronically via IAR (i.e. refunds and exchanges older than 13 months). These transactions must be settled directly with the validating carrier. Exception transactions must be mailed to the validating carrier for processing and not ARC. If received by ARC, they will be returned to the issuing travel agency.
Since all exception reports must be mailed to the validating carrier by the standard Tuesday, 11:59 P.M. deadline, any delay may result in the validating carrier issuing an unreported sale debit memo.

Electronic Settlement Authorization Code
All refunds, exchanges, and voids of an electronic ticket require an Electronic Settlement Authorization Code (ESAC). If performed directly in IAR, the agent must obtain an ESAC from the validating carrier.

Registration for My ARC is now available!
Registration for My ARC is now available to all IAR and ISS users. My ARC is your centralized access point to a growing list of ARC tools and resources. This growing list will soon include IAR and ISS. One of the key features of this application is a single sign-on to access your ARC tools. Meaning, you will no longer be required to have multiple user names and passwords!
IAR and ISS are scheduled to be integrated with My ARC in 2008. To take advantage of all of the benefits and features that My ARC has to off, register your IAR or ISS user accounts now!
What do you need to create your account?
- An existing IAR or ISS username and password
- A unique e-mail address for each account
- For ISS users you must know your ACN

Improperly Reported Sales
Effective December 2007, ARC’s Ticket Resolution Services (TRS) department began handling the resolution of certain improperly reported sales transactions (credit card chargebacks). The improperly reported sales include the following chargeback reason codes assigned by the carrier and the credit card company:
- Expired credit card
- Invalid credit card number
- Invalid/no auth approval code
- Unauthorized charge
Agents are notified of these improperly reported sales the same way they are notified of unreported sales transactions. The resolution process will work the same. In most situations, ARC’s TRS department will contact the agent within seven (7) days of the TRS department’s receipt of the chargeback memo from the carrier.
Agencies will have an opportunity to resolve these transactions by demonstrating the sale was properly reported, resolving the chargeback, or by making payment via ARC’s Memo Manager System, or submitting payment directly to the validating carrier (including special payment arrangements).
Failure to resolve improperly reported sales may result in a default in accordance with the Agent Reporting Agreement. In addition, a $34.00 compensatory fee will be charged for each transaction. The compensatory fee will be drafted from the ARC designated bank account, following notice to the agent. [Please note, the ARC designated bank account will not be drafted for the dollar value of the improperly reported sale.]

Have You Registered for ARC Memo Manager?
ARC Memo Manager is now available for ARC participating travel agents and carriers to electronically process and settle adjustment memos. ARC Memo Manger is a web-base tool that allows the processing of Debit Memos, Credit Memos, and Recall Commission Statements. These adjustment memos are sent to ARC Memo Manager by a participating carrier. Once sent, agents will be able to view, pay/accept or dispute their adjustment memos. If paid/accepted, a file will be sent from ARC Memo Manager to IAR, loading the adjustment memos into your IAR sales report for settlement, hence eliminating the need to manually enter adjustment memos into IAR! In addition, ARC Memo Manager facilitates two-way communications between you and the issuing carrier.

Agency Training
Need training? ARC offers free online training for IAR, ARC Memo Manager, and My ARC. These interactive classes are offered via the web with audio conferencing through Microsoft Live Meeting. Each class is led by an instructor; participants are able to view the presentation and demo, and are able to ask the instructor questions.

Participants will learn how to manage IAR user accounts, become familiar with IAR screens and navigation, enter transactions into IAR, and learn how to authorize a sales report.
